This article walks you through the Users page of the ConnecttoTeams Messaging Portal. Use this page to manage your users, assign SMS numbers, configure services, and filter your user list.

00:05: The Users page gives you a centralized view of everyone in your enterprise —

00:10: showing their assigned services, SMS numbers, and licenses all in one place. Use this

00:16: page to manage your users and assign services to them.

00:19: To get to the Users page, click the Users item in the navigation menu at the top

00:23: of the portal.

00:24: This will take you directly to the Users table where you can view and manage all

00:28: users in your enterprise.

00:30: Let's start with the columns.

00:32: The Teams Username column displays the Microsoft Teams identity of each user in your

00:36: enterprise — the same username tied to their Teams account.

00:40: Next is the SMS Numbers column.

00:42: This shows the SMS number assigned to each user. An individually

00:46: owned number is displayed as is — click it to open the SMS User Assignment

00:51: modal. If the user is a group owner of an SMS group, the number appears with a 'group

00:56: owner' suffix. An SMS group is a group of Teams users sharing a single SMS number.

01:02: Now, the Licenses column shows the Microsoft Teams license assigned to each user.

01:07: This is pulled directly from your Microsoft tenant and reflects the license type

01:11: assigned to the Teams user.

01:12: This is relevant to SMS — the SMS service requires a valid Teams license since

01:19: users send and receive messages through the Teams

01:21: client. A green license icon

01:24: indicates the user has a Teams license and can use

01:26: SMS. A red icon means the user does not have access to Teams and will be unable to

01:31: use the SMS service.

01:33: If you see a red icon for a user who needs SMS, assign them a Teams license to

01:38: restore access.

01:39: Then there's the Services column.

01:41: This shows the ConnecttoTeams services configured for each user. The

01:44: SMS chip reflects the user's SMS assignment status — we'll cover its various states

01:50: in the next few steps.

01:51: You'll also notice a CHT chip, which stands for Chat service.

01:55: Unlike SMS, the Chat service is configured at the enterprise level,

01:59: so all users display the CHT chip — meaning

02:03: everyone in your enterprise can chat with external parties on platforms like Slack,

02:08: WebEx, Mitel, and Zoom. Note that a future portal upgrade coming soon will allow you

02:13: to limit which users can access Chat services.

02:17: Chat integrations with these platforms will be covered in a separate video.

02:21: Now let's look at the SMS chip states

02:22: we mentioned earlier. When a user is fully configured for SMS,

02:26: the SMS chip appears in solid color, indicating the service is active and the

02:31: number is assigned.

02:33: If SMS is configured for a user but has been disabled, the chip appears in a

02:38: different state — signaling that while the number is assigned, the service

02:41: is currently inactive.

02:43: Now let's talk about the User Tags column.

02:46: This displays any custom tags applied to a user.

02:50: Tags are a helpful way to categorize or group users for easier management and

02:54: filtering.

02:56: To add tags, select a user by clicking on their SMS

02:59: chip. Click the plus icon on the Tags field, enter your tag

03:06: , click 'Create new tag' below the box and click Save.

03:10: To add more tags, click the plus again and repeat the process.

03:20: To remove a tag,

03:21: click the X icon next to it. To finalize

03:24: the user's tags, click Save in the user modal. The tags will then appear in the User

03:29: Tags

03:29: column. Note that each user can have up to 5 tags, with each tag limited

03:34: to 20 characters.

03:36: Now that we've covered the columns in the Users table, let's look at how to control

03:39: which users appear in the portal.

03:41: The Users page lets you limit which Teams groups are managed within the portal.

03:46: This is useful for large enterprises

03:48: that only need to enable services for a subset of users.

03:52: However, note that limiting by group comes with a performance trade-off due to

03:56: technical limitations in the integration with Microsoft APIs. If your organization

04:01: does not have strict requirements on which users are managed,

04:04: we recommend leaving the group selection blank.

04:06: If you do need to limit by group, here's how. Click the Groups button to open the

04:11: Manage User Groups modal. The modal explains the behavior clearly — when no group

04:16: is selected or when groups are selected, and when previously synced users may

04:20: still appear on the Users page but is not a member of current group

04:23: list. Select the groups you want to include from the Enterprise Groups dropdown,

04:28: then click Update Groups to apply your

04:30: changes. Keep in mind that the updated group selection may take up to 10 minutes to

04:34: reflect in the user list due to

04:36: latency in pulling data from Microsoft.

04:41: Next, you'll notice an Import button above the table.

04:44: It's worth clarifying

04:45: what this does

04:46: — this is not for adding new users to the portal.

04:50: Your user list is automatically pulled from Microsoft based on your Azure AD users

04:55: or the group selection

04:56: we covered earlier.

04:57: Instead, the Import button is used to configure SMS services for your users in bulk.

05:02: We'll cover this in more detail in the next steps,

05:05: where we discuss assigning numbers to users.

05:07: Now, let's look at how to assign an SMS number to a user.

05:12: Click on the chip to open the SMS user configuration,

05:17: check the enable SMS service checkbox to activate SMS for that user.

05:22: In the assigned number section, the available numbers are listed on the left under

05:26: available numbers.

05:28: Check the checkbox next to the number

05:30: you want to assign and click the add button to move it to the assigned numbers

05:34: column on the right.

05:35: You can also use the search box above each list to quickly find a specific number.

05:40: When you're done, click Save button. The assigned numbers will then appear in the SMS

05:45: numbers column for that user. Note that you can also perform this assignment from the

05:50: Numbers page.

05:51: Now let's look at how to assign SMS numbers to multiple users at once using the

05:55: import button.

05:57: This is where the import button we mentioned earlier comes in. Click the Import

06:01: button above the user's table to open the import modal. Start by downloading the CSV

06:06: template.

06:06: This ensures your file follows the correct format expected by the portal.

06:14: Fill in the template with your user and number assignment data, then save your file.

06:23: Back in the portal, click Select File to Upload and choose your prepared CSV file.

06:29: The portal will verify the contents of your file and flag any errors before

06:32: proceeding.

06:34: Once the file passes validation, click the Import button to apply the assignments.

06:38: This is a great time saver when you need to configure SMS numbers for a large number

06:42: of users at once.

06:47: Next,

06:47: let's look at how to change the number assignment of an existing user.

06:51: Click the green SMS chip of the user

06:53: you want to update to open the SMS User Configuration. To assign additional numbers,

06:58: select the numbers you want from the Available Numbers list on the left and click

07:02: Add to move them to the Assigned Numbers list on the right. To remove a specific

07:07: number from the user,

07:08: check the checkbox next to it in the Assigned Numbers list and click Remove. When

07:13: you're done making your changes, click Save. The added numbers will immediately be

07:17: listed in the SMS Numbers column for that user.

07:19: If you are using the legacy SMS Connector, the removed number will still appear here

07:24: until the app is synced.

07:26: One important note

07:27: — if your enterprise is still using the legacy SMS Connector App, any changes to

07:33: SMS number assignments, whether for a single user, in bulk, or through adding and

07:37: removing numbers, will require you to sync the SMS Connector app for the changes to

07:42: take effect. A red dot on the bell icon informs you that a task requires your attention.

07:48: Go to the Dashboard and click the Sync SMS App button in the Tasks section to

07:53: finalize

07:54: the number assignment changes.

07:58: We strongly recommend transitioning to the Unified Connector App, which eliminates

08:02: this sync requirement entirely.

08:04: Please contact your ConnecttoTeams provider to plan your migration.

08:14: Now that the sync is complete, let's confirm the changes.

08:22: Notice that the removed number no longer appears in the SMS Numbers column

08:26: — this confirms that all assignment changes have been finalized.

08:31: Users on the SMS Connector App will now see their newly added numbers and will no

08:35: longer have access to the removed ones.

08:37: Now that we've covered the columns, number management, and SMS assignment to users,

08:42: let's look at how to search and filter the Users table.

08:46: There are two ways to search for users in the Users table.

08:49: The first is the search box in the top-right corner of the table. As you type, it

08:53: instantly filters across all columns at once — including Teams usernames, SMS

08:58: numbers, and tags.

09:06: To clear the entry in the quick search box,

09:07: click the X icon on the right side of the box to view the full list again.

09:15: The second method is the column filter.

09:17: Click the filter icon

09:18: next to any column heading to search within that specific column. Filters

09:23: can be applied across multiple columns at the same time — for example, filtering

09:27: by Teams Username and SMS Numbers and User

09:30: Tags columns simultaneously will display only rows that match both criteria.

09:42: The Licenses column has a special filter worth noting. Instead of a text search

09:46: box, it offers a dedicated dropdown with two options — With

09:50: Teams License and Without Teams License. This lets you quickly identify users who still

09:55: need a Teams

09:56: license assigned,

09:57: particularly useful when you need to ensure all your SMS users have the required license to

10:02: access the service.

10:06: The Services column also has a special filter. Instead of a text search box,

10:10: it offers a dedicated dropdown with two options — SMS Enabled and SMS Disabled.

10:16: To show only users with active SMS

10:19: service, check SMS Enabled only. To show only users without active SMS service,

10:25: check SMS Disabled only.

10:28: This makes it easy to quickly identify which users have SMS configured and which

10:32: ones still need to be set up.

10:36: When you're done, click the Reset Filters button to clear all active column filters

10:40: at once and see the full list again.

10:48: Finally, you can export your user list by clicking the Export button at the top

10:52: right of the Users table. The portal will generate a file containing your users

10:56: and their current configuration — including their SMS numbers, licenses, services,

11:01: and

11:02: tags. This comes in handy for

11:04: record-keeping, auditing your user inventory, or sharing the list with your team.

11:08: You are now equipped to manage your users in the ConnecttoTeams Messaging Portal —

11:12: from viewing and filtering your user list, to assigning SMS numbers, managing tags,

Overview

The Users page gives you a centralized view of everyone in your enterprise — showing their assigned services, SMS numbers, and licenses all in one place.

To navigate to the Users page, click Users in the navigation menu at the top of the portal.

Understanding the Users Table Columns

Teams Username

Displays the Microsoft Teams identity of each user in your enterprise — the same username tied to their Teams account.

SMS Numbers

Shows the SMS number assigned to each user. An individually owned number is displayed as is — click it to open the SMS User Assignment modal. If the user is a group owner of an SMS group, the number appears with a 'group owner' suffix. An SMS group is a group of Teams users sharing a single SMS number.

Licenses

Shows the Microsoft Teams license assigned to each user, pulled directly from your Microsoft tenant. This is relevant to SMS — the SMS service requires a valid Teams license since users send and receive messages through the Teams client.

  • A green license icon indicates the user has a Teams license and can use SMS.

  • A red icon means the user does not have access to Teams and will be unable to use the SMS service.

Note

If you see a red icon for a user who needs SMS, assign them a Teams license to restore access.

Services

Shows the ConnecttoTeams services configured for each user. There are two service chips:

  • SMS chip — reflects the user's SMS assignment status.

  • CHT chip — stands for Chat service. Unlike SMS, Chat is configured at the enterprise level, so all users display the CHT chip, meaning everyone in your enterprise can chat with external parties on platforms like Slack, WebEx, Mitel, and Zoom.

Note

A portal upgrade coming soon will allow you to limit which users can access Chat services. Chat integrations with external platforms will be covered in a separate article and video.

User Tags

Displays any custom tags applied to a user. Tags are a helpful way to categorize or group users for easier management and filtering. See Managing User Tags below for instructions.

Managing User Tags

Tags can be added, edited, or removed from the SMS User Configuration modal. Any tags you add will appear in the User Tags column and can be used for filtering.

To add a tag:

  1. Click the SMS chip of the user to open the SMS User Configuration.

  2. Click the plus icon on the Tags field.

  3. Enter your tag and click Create new tag below the box.

  4. Click Save in the user modal to finalize.

To remove a tag, click the X icon next to it, then click Save.

Note: Each user can have up to 5 tags, with each tag limited to 20 characters.

Controlling Which Users Appear in the Portal

The Users page lets you limit which Teams groups are managed within the portal. This is useful for large enterprises that only need to enable services for a subset of users.

Note: Limiting by group comes with a performance trade-off due to technical limitations in the integration with Microsoft APIs. If your organization does not have strict requirements on which users are managed, we recommend leaving the group selection blank.

To limit by group:

  1. Click the Groups button to open the Manage User Groups modal.

  2. Review the behavior notes in the modal — it explains what happens when no group is selected versus when groups are selected, and how previously synced users may still appear even if they are no longer part of the current group selection.

  3. Select the groups you want to include from the Enterprise Groups dropdown.

  4. Click Update Groups to apply your changes.

Note: The updated group selection may take up to 10 minutes to reflect in the user list due to latency in pulling data from Microsoft.

Assigning SMS Numbers to Users

Assigning a Single User

A user without an existing SMS number will display a gray SMS chip.

  1. Click the gray SMS chip to open the SMS User Configuration.

  2. Check the Enable SMS Service checkbox.

  3. In the Assign Numbers section, check the checkbox next to the number you want to assign from the Available Numbers (DIDs) list on the left.

  4. Click Add to move it to the Assigned Numbers (DIDs) list on the right.

  5. Click Save. The assigned number will appear in the SMS Numbers column for that user.

Tip: You can also perform this assignment from the Numbers page.

Bulk Assignment via Import

The Import button above the Users table is used to configure SMS services for multiple users at once. Note that this is not for adding new users — your user list is automatically pulled from Microsoft based on your Azure AD users or group selection.

  1. Click the Import button above the Users table.

  2. Download the CSV template to ensure your file follows the correct format.

  3. Fill in the template with your user and number assignment data, then save your file.

  4. Click Select File to Upload and choose your prepared CSV file.

  5. The portal will verify the file and flag any errors. Once it passes validation, click Import to apply the assignments.

Adding or Removing Numbers from a User

To update the number assignment of an existing user:

  1. Click the green SMS chip of the user to open the SMS User Configuration.

  2. To add numbers, select them from the Available Numbers (DIDs) list on the left and click Add.

  3. To remove a number, check the checkbox next to it in the Assigned Numbers (DIDs) list and click Remove. To remove all assigned numbers at once, click Remove All.

  4. Click Save. Added numbers will immediately appear in the SMS Numbers column.

Note: If you are using the legacy SMS Connector, the removed number will still appear in the column until the app is synced.

Syncing the SMS Connector App (Legacy)

If your enterprise is still using the legacy SMS Connector App, any changes to SMS number assignments — whether for a single user, in bulk, or through adding and removing numbers — will require you to sync the SMS Connector App for the changes to take effect.

A red dot on the bell icon at the top of the portal alerts you when a task requires your attention. When you see this:

  1. Go to the Dashboard.

  2. Click the Sync SMS App button in the Tasks section to finalize your number assignment changes.

Once the sync is complete, removed numbers will no longer appear in the SMS Numbers column, confirming all changes have been finalized.

Tip

We strongly recommend transitioning to the Unified Connector App, which eliminates this sync requirement entirely. Contact your ConnecttoTeams provider to plan your migration.

Searching and Filtering the Users Table

There are two ways to search for users in the Users table.

Use the search box in the top-right corner of the table. As you type, it instantly filters across all columns at once — including Teams usernames, SMS numbers, and tags. To clear the search, click the X icon on the right side of the search box.

Column Filters

Click the filter icon next to any column heading to search within that specific column. Filters can be stacked — for example, filtering by Teams Username, SMS Numbers, and User Tags simultaneously will display only rows that match all criteria.

Two columns have special filters:

  • Licenses column — offers a dropdown with With Teams License and Without Teams License options, making it easy to identify users who still need a license assigned.

  • Services column — offers a dropdown with SMS Enabled and SMS Disabled options, letting you quickly identify which users have SMS configured and which still need to be set up.

When you are done filtering, click the Reset Filters button to clear all active filters and return to the full user list.

Exporting the User List

To export your user list, click the Export button at the top right of the Users table. The portal will generate a file containing your users and their current configuration — including their SMS numbers, licenses, services, and tags. This is useful for record-keeping, auditing your user inventory, or sharing the list with your team.
