Video
A companion video tutorial is also available for a visual walkthrough of the steps covered in this article.
00:00: This video is intended for the Enterprise
00:01: Admins of the ConnecttoTeams Messaging Portal.
00:05: In this video, we'll walk through the various SMS configuration pages in the
00:10: ConnecttoTeams Messaging Portal. One
00:12: thing to note before we dive in: the SMS pages may not be available in your portal
00:17: by default. If you're planning to use SMS for your organization, reach out to your
00:22: ConnecttoTeams provider to get it set up. With that out of the way, let's start
00:25: by navigating to the SMS menu.
00:29: From the navigation bar
00:30: at the top of the portal, click the Services, and then select SMS from the drop
00:36: down. This takes you to the SMS management page. Depending on your account setup,
00:40: you'll see up to four
00:42: tabs: General, Groups, Carriers, and Domains.
00:46: Let's start with the General tab.
00:49: This tab shows key SMS settings for your enterprise.
00:53: The Group Texting indicator is set to "on" when your provider has activated it for
00:57: your enterprise. Group Texting, also called Group SMS, is an industry-standard
01:02: SMS feature where a message is sent to multiple recipients, and replies from
01:07: any recipient are visible to the entire group
01:10: — similar to a group chat, but over SMS. Note that not all SMS carriers support
01:16: group SMS— check our knowledge base for the current list.
01:20: The Secure SMS indicator is set to On when your provider has enabled
01:23: encrypted messaging for your enterprise.
01:26: Secure SMS incorporates encryption and security
01:29: protocols to protect the content of messages from being accessed by unauthorized
01:33: parties.
01:34: This is suitable for organizations that handle sensitive information such as
01:38: healthcare, legal, or financial data.
01:42: You can hover over the information icon next to each setting for a quick reminder of
01:46: what it does.
01:48: These settings are read-only for Enterprise Admins.
01:50: If you'd like either feature enabled, contact your ConnecttoTeams provider.
01:56: Now, let's proceed to the Groups tab.
01:58: Before we delve in, it's important to clarify this distinction: an SMS Group differs
02:03: from Group Texting. While group texting resembles a group chat via SMS, an SMS
02:08: group in ConnecttoTeams consists of Teams users in who share SMS numbers.
02:13: Each member of an SMS group receives copies of all sent and received messages
02:17: — there's no private communication between group members on a shared number.
02:22: Common uses for SMS
02:23: Groups include shared Sales and Support lines.
02:26: Let's walk through the groups table columns.
02:29: The first column is the Group Name.
02:32: Clicking on a group name opens the Update SMS Group modal, allowing you to view and
02:37: modify its configuration, which will be discussed later.
02:41: Next column is Group Members, which shows the count of Teams users in the group.
02:46: Then, the Group Phone Numbers column displays the SMS number or numbers shared by the
02:51: group.
02:53: And then there's the Owner column, which shows the Team User who owns the group.
02:56: This ownership is relevant for the legacy SMS Connector App that uses "teams and
03:02: channels" to show the SMS messages.
03:04: Check our knowledge base to know more about the legacy SMS Connector app and the new
03:09: Unified Connector app.
03:13: Before moving on, here's a small but handy feature of the Groups table.
03:18: When you hover over a value in the Group Name, Group Members, Group Phone Numbers
03:23: or Owner, a copy icon appears next to it. Click the icon to copy that value to your
03:29: clipboard — useful when you need to paste a number into a ticket, email, or
03:33: another system.
03:35: Now let's talk about adding a new SMS group.
03:37: Click the Add SMS Group button above the table to open the Add SMS Group modal.
03:44: Enter the group name.
03:46: Select the Team owner
03:49: , Add the member users
03:56: . Select the numbers for the group.
04:00: To finalize, click the Save button
04:05: . The newly created group will appear immediately in the Groups table.
04:11: Next, let's explore how to update or delete an existing group.
04:16: Before we dive into the processes of updating and deleting, it's essential to
04:19: highlight an important point:
04:22: If your enterprise is still utilizing the legacy SMS Connector App, any
04:26: modifications to SMS user or group assignments necessitate a manual sync.
04:32: You must go to the Dashboard and click the Sync
04:34: SMSApp button for the changes to take effect. You can monitor the sync status by checking
04:39: the Tasks table.
04:41: Given this limitation, we strongly recommend that your enterprise transition to the
04:45: Unified Connector App.
04:47: Please contact your ConnecttoTeams provider to plan this migration.
04:51: Let's go back to updating the SMS group.
04:55: Clicking the Update action — or clicking the group name
04:58: itself — opens the Update SMS Group modal. Here you
05:02: can modify the group name, the member users, and the
05:05: assigned numbers. This video shows a member is added and
05:08: a shared number is added. After saving, the change is reflected in the Groups table.
05:30: Any numbers assigned to the deleted group become available again and can be
05:34: reassigned to other users or groups.
05:41: In the Numbers page, you may click the chip with the question mark to make a new
05:44: assignment for the released number.
05:48: Now that we've covered the columns, let's look at how to search and filter the
05:51: Groups table.
05:52: There are two ways to search for groups in the Groups table.
05:55: The first is the search box in the top-right corner of the table. As you type, it
05:59: instantly filters across all columns at once — including phone numbers, assigned
06:05: users, and more.
06:12: The second search method involves using the column filters.
06:16: Click the filter icon next to any column heading and type any part of what you're
06:21: looking for
06:21: — the table will instantly show rows that contain that
06:24: text. You can do this across multiple columns at once for a more precise search.
06:57: When you're done , click the Reset Filters button to clear all active column
07:01: filters at once and see the full list again.
07:04: Let's move on to the Carriers tab.
07:05: This tab is only visible
07:07: if your enterprise manages its own phone numbers. Each row in the Carriers table is
07:12: called a Carrier Profile, and it represents a set of API credentials used to
07:16: communicate with your underlying SMS carrier for outbound messaging.
07:19: Your ConnecttoTeams provider
07:21: is responsible for saving these carrier profiles. Coordinate with them to make
07:25: sure the stored credentials are correct.
07:28: When you add or import SMS numbers, associate them with the right carrier profile
07:33: — that's what enables outbound messaging to
07:35: work from those numbers. Think of the Carrier Profile as the bridge between your
07:39: Teams users and the mobile subscriber
07:42: — when a Teams user sends a message, it travels through the carrier profile to
07:46: the carrier, and then on to the recipient.
07:49: For inbound SMS messages to reach ConnectToTeams, your SMS carrier must be configured to
07:53: route them here. The steps
07:56: vary by carrier — check our knowledge base for carrier-specific instructions. For
08:00: carriers like Netsapiens,
08:02: there is an additional configuration step handled by your ConnectToTeams provider, and you
08:06: can monitor this in the Domains tab, which we'll cover later.
08:11: Let's move on to searching. Searching here
08:13: works the same way as in the Groups tab. Use the quick search box in the top-right to
08:18: filter across all columns instantly, and click X to clear it. For
08:22: more targeted results, use the column filter icons to filter by Carrier Name, Carrier
08:27: Profile, or both at the same time. When you're done, click Reset Filters
08:31: to clear all active filters.
08:40: Let's move to the last tab —
08:42: Domains. The Domains tab is
08:44: visible if you're using numbers hosted by Netsapiens, Skyswitch, United Cloud, Ring Logix,
08:49: or Viirtue.
08:49: The table shows you the Domain,
08:51: the related Carrier Profile containing the API credentials for your SMS provider,
08:56: the Subscription ID, subscription date, and the subscription Expiry date.
09:02: That expiry date is the one to keep an eye on.
09:05: If the Expiry date is in the past, your domain's subscription is no longer valid and
09:10: inbound messages to your numbers will no longer reach ConnectToTeams — your users simply
09:14: won't receive them. ConnectToTeams
09:15: does its best to automatically resubscribe expired domains. But if you're
09:20: still using numbers in an expired domain subscription and messages aren't getting through,
09:25: contact your ConnectToTeams Provider to request a manual re-subscription.
09:31: If you no longer need SMS on numbers in a specific domain, it's best practice to
09:35: delete that domain's subscription.
09:37: This reduces system load and keeps other services running smoothly. To do
09:41: so, click the Delete option in the Actions column for that domain.
09:45: Let's move on to searching.
09:47: As with the other tabs, use the quick search box or column filter icons to find
09:52: domain records.
09:54: Click Reset Filters to clear all active
09:56: filters at once. If you have a large number of records, use the pagination controls
10:01: at the bottom of the table to move between pages.
10:04: This video walked you through the SMS pages under the Services menu — with the
10:08: key focus on SMS Groups, including how to create them and assign numbers to a
10:13: group. But SMS numbers can also be assigned to individual
10:17: Teams users. Where can you do that? There are two places. The first is the Users page
10:27: — click the service chip on any user to make an SMS number assignment.
10:37: The second is the Numbers page,
10:39: where you can assign numbers to both individual Teams users and SMS groups from one
10:44: central place.
10:46: Check our knowledge base for detailed guides on both the Users page and the Numbers
10:50: page.
10:51: You are now equipped to manage your SMS pages in the ConnectToTeams Messaging Portal with
10:55: confidence. For additional
10:57: resources, visit our knowledge base at https://kb.connecttoteams.com.

Accessing the SMS Pages
To access the SMS pages, click Services in the navigation bar and select SMS from the dropdown. Depending on your account setup, you will see up to four tabs:
General — Key SMS settings for your enterprise.
Groups — Manage groups of Teams users who share SMS numbers.
Carriers — Visible only if your enterprise manages its own phone numbers. Shows the API credentials used to communicate with your SMS carrier.
Domains — Visible if your numbers are hosted by carriers such as Netsapiens, Skyswitch, United Cloud, Ring Logix, or Viirtue.
General Tab
The General tab displays two enterprise-level SMS settings. These settings are read-only for Enterprise Admins. To enable either feature, contact your ConnecttoTeams provider.
Hover over the information icon next to each setting for a quick description.
Group Texting
If the Group Texting indicator shows On, your provider has activated this feature for your enterprise. Group Texting — also called Group SMS — is an industry-standard SMS feature where a message is sent to multiple recipients, and replies from any recipient are visible to the entire group, similar to a group chat but over SMS.
Note: Not all SMS carriers support Group Texting. Check our knowledge base for the current list of supported carriers.
Secure SMS
If the Secure SMS indicator shows On, your provider has enabled encrypted messaging for your enterprise. Secure SMS incorporates encryption and security protocols to protect the content of messages from being accessed by unauthorized parties. This is suitable for organizations that handle sensitive information, such as those in healthcare, legal, or financial services.
Groups Tab
The Groups tab is where you manage SMS Groups. An SMS Group is a logical grouping of Teams users who share one or more SMS numbers for sending and receiving messages.
SMS Groups vs Group Texting
An SMS Group is not the same as Group Texting. Group Texting is an industry-standard SMS messaging feature. An SMS Group is a grouping of Teams users within ConnecttoTeams.
When using the Unified Connector App, each group member receives copies of all sent and received messages through the shared number. There is no private communication between group members on a shared number. Common uses for SMS Groups include shared Sales and Support lines.
Groups Table Columns
The Groups table includes the following columns:
• Group Name — Click a group name to open the Update SMS Group modal and view or modify its configuration.
• Group Members — Shows the count of Teams users in the group.
• Group Phone Numbers — Displays the SMS number or numbers shared by the group.
• Owner — Shows the Teams user who owns the group. This is relevant for the legacy SMS Connector App, which uses teams and channels to display SMS messages. Check our knowledge base for more information on the legacy and Unified Connector apps.
Tip: When you hover over a value in the Group Name, Group Members, Group Phone Numbers, or Owner columns, a copy icon appears. Click it to copy that value to your clipboard — useful when you need to paste a number into a ticket, email, or another system.
Adding an SMS Group
To create a new SMS group:
Click the Add SMS Group button above the table.
Enter a group name.
Select a Team owner.
Add the member users.
Select the SMS numbers to assign to the group.
Click Save. The new group will appear immediately in the Groups table.
Updating an SMS Group
Click the Update action for a group — or click the group name directly — to open the Update SMS Group modal. From here you can modify the group name, member users, and assigned numbers. Click Save to apply your changes.
Deleting an SMS Group
When you delete an SMS group, the numbers assigned to it become available again and can be reassigned to other users or groups. Members of the deleted group will no longer receive inbound messages on those numbers and will no longer be able to send from them.
Tip: To reassign a released number, go to the Numbers page and click the chip with the question mark next to that number.
If your enterprise is still on the legacy SMS Connector App, any changes to SMS user or group assignments require a manual sync. Go to the Dashboard and click the Sync SMS App button for changes to take effect. Monitor the sync status in the Tasks table.
Contact your provider to migrate to the Unified Connector App, which eliminates this requirement.
Searching and Filtering the Groups Table
There are two ways to find records in the Groups table.
Quick Search: Use the search box in the top-right corner of the table. As you type, it instantly filters across all columns at once, including phone numbers, assigned users, and more.
Column Filters: Click the filter icon next to any column heading and type any part of what you are looking for — the table will instantly show rows that contain that text. You can apply column filters across multiple columns at the same time for a more precise search. The filter options vary by column type: text columns filter by content, while number columns such as Group Members offer additional conditions like greater than and less than.
Click the Reset Filters button to clear all active filters at once and return to the full list.
Carriers Tab
The Carriers tab is only visible if your enterprise manages its own phone numbers. Each row in the Carriers table is called a Carrier Profile — a set of API credentials used to communicate with your underlying SMS carrier for outbound messaging.
Your ConnectToTeams provider is responsible for creating and saving these carrier profiles. Coordinate with them to ensure the stored credentials are correct. When adding or importing SMS numbers, associate them with the correct carrier profile to enable outbound messaging from those numbers.
Think of the Carrier Profile as the bridge between your Teams users and the mobile subscriber. When a Teams user sends a message, it travels through the carrier profile to the carrier, and then on to the recipient.
Inbound SMS Routing
For inbound SMS messages to reach ConnectToTeams, your SMS carrier must be configured to route them here. The steps vary by carrier — check our knowledge base for carrier-specific instructions. For carriers like Netsapiens, there is an additional configuration step handled by your ConnectToTeams provider, which you can monitor in the Domains tab.
Searching and Filtering the Carriers Table
Use the quick search box in the top-right corner to filter across all columns instantly. For more targeted results, click the filter icon next to any column heading to filter by Carrier Name, Carrier Profile, or both at the same time. Click Reset Filters to clear all active filters.
Domains Tab
The Domains tab is visible if your SMS numbers are hosted by Netsapiens, Skyswitch, United Cloud, Ring Logix, or Viirtue. The table displays the following information for each domain:
Domain — The domain name.
Carrier Profile — The API credentials linked to your SMS provider.
Subscription ID and Date — Useful for troubleshooting with your SMS provider.
Expiry Date — The date the domain subscription expires.
Expired Subscriptions
If the Expiry date is in the past, your domain's subscription is no longer valid and inbound messages to your numbers will no longer reach ConnectToTeams — your users simply won't receive them.
ConnectToTeams does its best to automatically resubscribe expired domains. If you are still using numbers in an expired domain and messages are not getting through, contact your ConnectToTeams provider to request a manual re-subscription.
Deleting a Domain Subscription
If you no longer need SMS on numbers in a specific domain, delete that domain's subscription. This reduces system load and keeps other services running smoothly. Click the Delete option in the Actions column for the domain you want to remove.
Searching, Filtering, and Pagination
Use the quick search box or column filter icons to locate domain records. Click Reset Filters to clear all active filters at once. Use the pagination controls at the bottom of the table to navigate between pages if you have a large number of records.
Assigning SMS Numbers
This article focuses on SMS Groups and assigning numbers to groups. However, SMS numbers can also be assigned to individual Teams users. There are two places to do this:
Check our knowledge base for detailed guides on both the Users page and the Numbers page.
